The phrase AI receptionist gets thrown around a lot, and it is not always clear what the system should actually do. Before you trust it with your phone line, decide which calls it should handle and which ones should still go to a person.

Yes to routine calls

The AI needs to answer naturally, listen, and capture the request. For a restaurant, that might be a guest asking about hours, calling about a reservation, or checking whether takeout is available. For a service business, it might be a caller describing the job and leaving the best callback number. These calls follow a pattern, which makes them a good place to start.

Yes to simple questions

Hours, location, directions, holiday schedules, service areas, and basic policies are good fits. The caller does not care that the answer came from a dashboard. They care that the answer is clear and does not sound like a phone tree.

Yes to clean callbacks

If something does need a person, the AI should flag it and pass it along with the context. The customer should not repeat the whole story on a fresh call.

  • No to refunds and disputes. If someone calls upset, a robotic tone makes it worse. The AI should recognize that and hand off immediately, not try to manage it with fixed rules.
  • No to pricing exceptions. Discounts, special requests, and last-minute changes are judgment calls. Keep those with a person.

Test the split before you trust it
